Client Background
How a 240-vehicle fleet operator replaced three disconnected spreadsheets with a single real-time Power BI command center.
The Challenge
The operations team managed telematics, fuel card, and maintenance data across three separate systems with no common vehicle ID scheme. Every weekly utilization report took two full days to assemble manually, and by the time it reached leadership, the numbers were already stale.
Our Approach
We started with a data audit across all three source systems, designed a normalized vehicle master, and built an automated SQL-based ETL pipeline to land and reconcile the data nightly. From there, we modeled a star schema warehouse optimized for fast, flexible reporting.
Implementation
The Power BI layer was built in three iterations: an internal-only MVP for the ops team to validate the numbers, a refined leadership dashboard with drill-down by vehicle and route, and finally a mobile-friendly view for regional managers checking utilization on the go. Row-level security was applied so each region only saw its own fleet.
Results
- —Weekly reporting time dropped from 2 days to under 20 minutes
- —Fuel cost anomalies are now caught within 48 hours instead of at month-end
- —Vehicle utilization improved as underused vehicles became visible for the first time
